Job Description — Administrative Assistant Duties and Responsibilities

The successful applicant will be responsible for providing administrative assistance across various departments requiring operational support.

Key responsibilities include:

  • Provide administrative assistance to departments requiring additional support;
  • Quickly familiarise yourself with departmental workflows, policies, and operational requirements;
  • Deliver administrative support including data entry, scheduling, correspondence management, and record keeping;
  • Ensure efficient daily operations by proactively identifying and resolving administrative bottlenecks;
  • Transition smoothly between departments while maintaining professionalism and efficiency;
  • Adapt to changing priorities, tasks, and team dynamics based on departmental needs;
  • Propose and implement improvements to administrative processes to ensure consistency and sustainability;
  • Share best administrative practices across departments where applicable;
  • Support team members in achieving departmental and organisational goals.

Minimum Job Requirements

Applicants must meet the following essential criteria:

  • Grade 12 or equivalent qualification;
  • Minimum of 1 year experience in a general administrative or similar role;
  • Familiarity with office tools, scheduling systems, and filing processes;
  • Ability to learn new software systems and internal processes quickly;
  • Working knowledge of Microsoft Office applications including Word, Excel, and Outlook;
  • Strong organisational skills with excellent attention to detail;
  • Good written and verbal communication skills;
  • Effective time-management and multitasking abilities;
  • Strong problem-solving skills.
