Job Description — Administrative Assistant Duties and Responsibilities
The successful applicant will be responsible for providing administrative assistance across various departments requiring operational support.
Key responsibilities include:
- Provide administrative assistance to departments requiring additional support;
- Quickly familiarise yourself with departmental workflows, policies, and operational requirements;
- Deliver administrative support including data entry, scheduling, correspondence management, and record keeping;
- Ensure efficient daily operations by proactively identifying and resolving administrative bottlenecks;
- Transition smoothly between departments while maintaining professionalism and efficiency;
- Adapt to changing priorities, tasks, and team dynamics based on departmental needs;
- Propose and implement improvements to administrative processes to ensure consistency and sustainability;
- Share best administrative practices across departments where applicable;
- Support team members in achieving departmental and organisational goals.
Minimum Job Requirements
Applicants must meet the following essential criteria:
- Grade 12 or equivalent qualification;
- Minimum of 1 year experience in a general administrative or similar role;
- Familiarity with office tools, scheduling systems, and filing processes;
- Ability to learn new software systems and internal processes quickly;
- Working knowledge of Microsoft Office applications including Word, Excel, and Outlook;
- Strong organisational skills with excellent attention to detail;
- Good written and verbal communication skills;
- Effective time-management and multitasking abilities;
- Strong problem-solving skills.
